There have been incidents in the past of accepted Poster and Oral Abstracts that have not been presented at the conference, even when their presenters have been registered to attend the conference. Presenters who do not attend the meeting with no prior warning of their absence cause considerable disruption to the programme objective. To prevent gaps in the scientific programme due to presenters who have not arrived, the following policy is to be implemented to regulate the presentation process.
➡️ Should the corresponding author be unable to attend the Meeting, a registered co-author may present the Poster or Oral presentation instead. Please however inform us accordingly.
➡️ If the presenting author informs us that he/she won’t be able to attend and present their work, the abstract will be removed from the program and the abstract book.
➡️ The Conference Secretariat will identify "No-Show" abstract presenters, and send notification emails after the meeting to all corresponding authors of those abstracts.
➡️ Should an author of a previous "No-Show" Poster or Oral contribution submit an abstract to the following EIP conference, a warning will be sent, acknowledging that he/she was a "No-Show" at the previous conference. Should the situation repeat itself, the corresponding author will be excluded from abstract submission for the EIP Conferences for the following 2 years.
⚠️Note: Participants may have legitimate reasons for their absence. In such instances, reasons for a "No-Show" will be arbitrated on a case-by-case basis and the EIP Board shall instruct the EIP Conference Secretariat whether to approve or decline the request.
